What are canned responses?

Canned responses are templates that you can automatically insert in a body of email that you are composing. Canned response templates can contain mail-merge macros, such as contact’s name and email address, and so on.

How do I add a default email signature?

There are two ways to add a signature to outgoing email.

  1. Specify a default signature for email identity. When that identity is selected from a drop-down menu in compose window, specified signature will be automatically inserted in the body of the message (provided that it hasn’t been altered by typing).
  2. Use canned responses to manually insert signature in the email.

What are email identities?

Email identity is combination of ‘From name’ and ‘From email’ fields. Each department can have any number of email identities, which can be assigned to a specific user (John Smith ), or shared among multiple users (sales@mycompany.com).

When composing an email, users select email identities from a drop-down list.

How frequently does Relenta check email on remote POP/IMAP servers?

Receiving email is a continuous process. Typically it takes a few minutes between email server checks but may take longer in case of increased server load.

Can I use Relenta with other email programs and services?

Yes. You can use Relenta to handle your incoming and outgoing email exclusively, or mix and match it with any number of other email services, clients and devices. As always, we give you the tools and get out of the way.

Relenta plays well with…

  • Any mobile device: iPhone, Blackberry, Android
  • Any email service: Gmail, Google Apps, Exchange, Yahoo! Mail, yourcompany.com
  • Any email client: Outlook, Thunderbird, Eudora, Apple Mail

We assume you’re already set up to get your email from your email service to your mobile directly. If not, first get email working on your mobile.

The rest is really simple. You want to do two things:

  • Get some or all of your incoming email into Relenta (from any number of email services or accounts).
  • Get some or all of your outgoing email into Relenta (from your mobile, web or desktop email client).

Why? You want to be sure that your team can access relevant client information from your client profiles. Once those emails are attached to your client profile in Relenta, they are on file forever for whomever needs that info. Never see a team member make a customer service mistake again, due to a lack of information about the client.

Incoming email

If you want all your incoming mail go to into Relenta, set up automatic email forwarding of all email to your Relenta account.

If you don’t want to get all email into Relenta, simply forward individual messages to your Relenta account. If there is an identity (Settings > Identities) that matches your From: email address, the message will be filed against the person who sent the original message to you, based on From: address in the body of forwarded message.

Outgoing email

To get an outgoing mail into Relenta, BCC it to your Relenta account. If there is an identity that matches your From: email address, the email will be placed in Sent folder and matched with the appropriate contact.

How do I configure remote POP/IMAP/SMTP accounts to send and receive email?

Relenta allows you to add any number of incoming (POP/IMAP) and outgoing (SMTP) email accounts. To add an email account, follow these steps:

  1. Click on ‘Settings’ tab > ‘Email settings’ > ‘Add new email account’
  2. Enter email account information and choose protocol type from the drop-down menu (POP/IMAP/SMTP)
  3. Click ‘Save’

Can I use personalized email addresses *****@mycompany.com?

Yes. Relenta can read email from any number of POP/IMAP email accounts that you specify.

You can also specify any number of ‘From’ email identities and use them on the fly when composing and/or replying to email.
