			<content:encoded><![CDATA[<p>You can use Relenta to handle your incoming and outgoing email exclusively, or mix and match it with any number of other email services, clients and devices. As always, we give you the tools and get out of the way.</p>
<p>Relenta plays well with&#8230;</p>
<ul>
<li>Any mobile device: iPhone, Blackberry, Android</li>
<li>Any email service: Gmail, Google Apps, Exchange, Yahoo! Mail, yourcompany.com</li>
<li>Any email client: Outlook, Thunderbird, Eudora, Apple Mail</li>
</ul>
<p>We assume you&#8217;re already set up to get your email from your email service to your mobile directly. If not, first get email working on your mobile.<br />
<span id="more-272"></span><br />
The rest is really simple. You want to do two things:</p>
<ul>
<li>Get some or all of your <strong>incoming</strong> email into Relenta (from any number of email services or accounts).</li>
<li>Get some or all of your <strong>outgoing</strong> email into Relenta (from your mobile, web or desktop email client).</li>
</ul>
<p>Why? You want to be sure that your team can access relevant client information from your client profiles. Once those emails are attached to your client profile in Relenta, they are on file forever for whomever needs that info. Never see a team member make a customer service mistake again, due to a lack of information about the client.</p>
<h3>Incoming email</h3>
<p>If you want all your incoming mail go to into Relenta, set up automatic email forwarding of all email to your Relenta account.</p>
<p>If you don&#8217;t want to get all email into Relenta, simply forward individual messages to your Relenta account. If there is an identity (<strong>Settings &gt; Identities</strong>) that matches your From: email address, the message will be filed against the person who sent the original message to you, based on From: address in the body of forwarded message.</p>
<h3>Outgoing email</h3>
<p>To get an outgoing mail into Relenta, BCC it to your Relenta account. If there is an identity that matches your From: email address, the email will be placed in Sent folder and matched with the appropriate contact.</p>

To start using this feature, you will need to auto-forward email to your Relenta account, so copies of all incoming messages are received in Relenta and other clients you want to use, such as Outlook, iPhone, etc.</p>
<p>Next, create identity (<strong>Settings &gt; Identities</strong>) with email address that matches sender (From:) address you use to send email from other clients.</p>
<p>As is often the case with Relenta, things are as simple on the outside as they are complex on the inside. Below is the set of rules used to sort and file the incoming email.</p>

<p>If the automatic bounced email handling is enabled, you will see a Bounced folder in your message folder list.</p>
<p>Here&#8217;s how it works. When you send an email, we include a unique message identifier in the full email header:</p>

<p>When the bounced (undeliverable) message is received, we identify the error code as well as the email address to which message was originally sent.</p>
<p>There are two types of bounced messages: soft and hard. Hard bounce means that the email delivery failure is permanent (SMTP code 550). All other bounces are considered soft. If the number of soft bounces per email address exceeds two, the email address will be marked as hard bounce.</p>
<p>Both soft and hard bounce emails are placed in the Bounced folder so you can review them and act accordingly.</p>
<p>The contact which has at least one soft or hard bounced message associated is visually identified with a yellow triangle icon.</p>
<p>On contact view page, soft bounced emails are displayed in brown, hard bounces in red.</p>

<p>1. Login into your FreshBooks account and go to My Account &gt; FreshBooks API. Check the box &#8220;Enable API&#8221; and copy your Authentication Token (it looks like this: 2b1bb1w987c4704da7f2g5994401fc9c).</p>
<p>2. In your Relenta account and go to Settings &gt; Add-ons. Click on &#8220;Link your Relenta and FreshBooks accounts,&#8221; enter your FreshBooks account (login) name and paste Authentication Token. Click &#8220;Connect&#8221; button.</p>
<p>3. Click on &#8220;Import contacts,&#8221; then &#8220;Import invoices&#8221; and you&#8217;re done.</p>

<p><strong>CSV file format</strong><br />
Your CSV file must contain a header row, or first line, that defines the fields in your table. Relenta recognizes headers from the CSV files exported by most common applications such as Outlook, Act!, Goldmine, Gmail, Yahoo, etc.</p>
<p>You also have an option to create and/or edit your own CSV files, using headers from the list below. </p>
<p><strong>Standard headers</strong></p>

<p>Group and tag names should be separated by ; (semicolon).</p>
<p>Groups and custom fields must already exist in the system before you import contacts. Tags, if not already present, will be created on the fly during import.</p>
<p><strong>Required fields</strong></p>
<p><span class="highlight">Any two of the following three fields must be present for a contact to be imported (or updated) by Relenta: First Name, Last Name, Email.</span></p>
<p>NB! If your imported file contains Relenta&#8217;s contact ID, the above rule doesn&#8217;t apply.</p>
<p>NB! If your file contains the Full Name column, then &#8212; depending on its format &#8212; it will be split into first and last names either as First Last or Last, First.</p>
<p><strong>Updating existing contacts</strong></p>
<p>Relenta uses a smart algorithm in an attempt to make a match between each contacts that is being imported and an existing contact in your Relenta database. This way if you accidentally upload the same file, the contacts aren&#8217;t duplicated. The algorithm takes into the account First Name, Last Name and Email<!-- , Title, and Company, --> and assigns points to each matching field. The contact with highest score is considered to be a match and is updated with imported data.</p>
<p>NB! The above algorithm doesn&#8217;t apply to the duplicate records present in the CSV file itself.</p>

<p>A query is broken up into terms and operators. There are two types of terms: Single Terms and Phrases.</p>
<p>A Single Term is a single word such as &#8220;test&#8221; or &#8220;hello&#8221;.</p>
<p>A Phrase is a group of words surrounded by double quotes such as &#8220;hello dolly&#8221;.</p>
<p>Multiple terms can be combined together with Boolean operators to form a more complex query (see below).</p>
<h3>Fields</h3>
<p>When performing a search you can either specify a field, or use the default fields. The available fields are:</p>
<ul>
<li>From</li>
<li>To</li>
<li>Subject</li>
<li>Body</li>
<li>Cc</li>
<li>Headers</li>
</ul>
<p>You can search a specific field by typing the field name followed by a colon &#8220;:&#8221; and then the term you are looking for.</p>
<p>If you want to find the email with subject &#8220;Email and contact manager&#8221; which contains the text &#8220;gets things done&#8221; in the body, you can enter:</p>
<p><span class="example">subject:&#8221;Email and contact manager&#8221; AND body:&#8221;gets things done&#8221;</span></p>
<h3>Boolean operators</h3>
<p>Boolean operators allow terms to be combined through logic operators. Relenta supports AND, &#8220;+&#8221;, OR, NOT and &#8220;-&#8221; as Boolean operators.</p>
<p><span class="highlight"><strong>NB! Boolean operators must be ALL CAPS</strong></span></p>
<p>The OR operator is the default conjunction operator. This means that if there is no Boolean operator between two terms, the OR operator is used. The OR operator links two terms and finds a matching document if either of the terms exist in a document. This is equivalent to a union using sets. The symbol || can be used in place of the word OR.</p>
<p>To search for documents that contain either &#8220;email manager&#8221; or just &#8220;email&#8221; use the query:</p>
<p><span class="example">&#8220;email manager&#8221; email</span></p>
<p>or</p>
<p><span class="example">&#8220;email manager&#8221; OR email</span></p>
<p>AND</p>
<p>The AND operator matches documents where both terms exist anywhere in the text of a single document. This is equivalent to an intersection using sets. The symbol &#038;&#038; can be used in place of the word AND.</p>
<p>To search for documents that contain &#8220;email manager&#8221; and &#8220;contact manager&#8221; use the query:</p>
<p><span class="example">&#8220;email manager&#8221; AND &#8220;contact manager&#8221;</span></p>

<p>The &#8220;+&#8221; or required operator requires that the term after the &#8220;+&#8221; symbol exist somewhere in a the field of a single document.</p>
<p>To search for documents that must contain &#8220;email&#8221; and may contain &#8220;Relenta&#8221; use the query:</p>

<p>NOT</p>
<p>The NOT operator excludes documents that contain the term after NOT. This is equivalent to a difference using sets. The symbol ! can be used in place of the word NOT.</p>
<p>To search for documents that contain &#8220;email manager&#8221; but not &#8220;office manager&#8221; use the query:</p>
<p><span class="example">&#8220;email manager&#8221; NOT &#8220;office manager&#8221;</span></p>
<p>Note: The NOT operator cannot be used with just one term. For example, the following search will return no results:</p>
<p><span class="example">NOT &#8220;email manager&#8221;</span></p>

<p>The &#8220;-&#8221; or prohibit operator excludes documents that contain the term after the &#8220;-&#8221; symbol.</p>
<p>To search for documents that contain &#8220;email manager&#8221; but not &#8220;office manager&#8221; use the query:</p>

<h3>Wildcard searches</h3>
<p>Relenta search supports single and multiple character wildcard searches within single terms (not within phrase queries).</p>
<p>To perform a single character wildcard search use the &#8220;?&#8221; symbol.</p>
<p>To perform a multiple character wildcard search use the &#8220;*&#8221; symbol.</p>
<p>The single character wildcard search looks for terms that match that with the single character replaced. For example, to search for &#8220;text&#8221; or &#8220;test&#8221; you can use the search:</p>
<p><span class="example">te?t</span></p>
<p>Multiple character wildcard searches looks for 0 or more characters. For example, to search for test, tests or tester, you can use the search:</p>
<p><span class="example">test*</span></p>
<p>You can also use the wildcard searches in the middle of a term.</p>
<p><span class="example">te*t</span></p>
<p>Note: You cannot use a * or ? symbol as the first character of a search.</p>
<h3>Fuzzy searches</h3>
<p>To do a fuzzy search use the tilde, &#8220;~&#8221;, symbol at the end of a Single word Term. For example to search for a term similar in spelling to &#8220;roam&#8221; use the fuzzy search:</p>
<p><span class="example">roam~</span></p>
<p>This search will find terms like foam and roams.</p>
<p>An additional (optional) parameter can specify the required similarity. The value is between 0 and 1, with a value closer to 1 only terms with a higher similarity will be matched. For example:</p>
<p><span class="example">roam~0.8</span></p>
<p>The default that is used if the parameter is not given is 0.5.</p>
<h3>Proximity searches</h3>
<p>Relenta supports finding words that are within a specific distance away. To do a proximity search use the tilde, &#8220;~&#8221;, symbol at the end of a Phrase. For example to search for a &#8220;email&#8221; and &#8220;manager&#8221; within 10 words of each other in a document use the search:</p>
<p><span class="example">&#8220;email manager&#8221;~10</span></p>
<h3>Grouping</h3>
<p>Relenta supports using parentheses to group clauses to form sub queries. This can be very useful if you want to control the boolean logic for a query.</p>
<p>To search for either &#8220;email&#8221; or &#8220;manager&#8221; and &#8220;website&#8221; use the query:</p>
<p><span class="example">(email OR manager) AND website</span></p>
<p>This eliminates any confusion and makes sure you that website must exist and either term email or manager may exist.</p>
<h3>Field grouping</h3>
<p>Relenta search supports using parentheses to group multiple clauses to a single field.</p>
<p>To search for an email with subject that contains both the word &#8220;return&#8221; and the phrase &#8220;pink panther&#8221; use the query:</p>
<p><span class="example">subject:(+return +&#8221;pink panther&#8221;)</span></p>
<h3>Escaping special characters</h3>
<p>Relenta search supports escaping special characters that are part of the query syntax. The current list special characters are</p>

<p>To escape these character use the \ before the character. For example to search for (1+1):2 use the query:</p>
